Introduction to Delegate Access Control

What is it? Delegate Access Control allows DSMN8 customers to assign trusted colleagues (Delegates) to manage the DSMN8 accounts of busy executives (Executive Influencers). This ensures executives remain active and visible on social media, even if they don’t have time to log in regularly.

Who uses it?

  • Key Administrator – Manages the programme overall.
  • Executive Influencer – Senior staff with influence but limited time.
  • Delegate – Supports executives by managing their account activity.

Why it matters: Executive Influencers often have powerful networks. With Delegate Access Control, organisations can ensure their presence stays active and aligned with programme goals.

Granting Access

You’ll receive an email invite to join the Delegate Access Control programme. Depending on whether you already use DSMN8:

  • If you already have a DSMN8 account:
    1. Open the invitation email.
    2. Accept the Access Control Agreement.
    3. (Optional) Enable a 24-hour "Opt-Out Window" to review posts before they go live.
  • If you’re new to DSMN8:
    1. Open the email invitation.
    2. Sign up for DSMN8.
    3. Accept the Access Control Agreement.
    4. Connect your LinkedIn account.
    5. (Optional) Enable the 24-hour opt-out review window.

Once complete, your Delegates can manage your DSMN8 account on your behalf.

Monitoring Your Account

Even if you hand over control, you can log in anytime to:

  • Review your Activity Feed (see what’s been posted for you).
  • Filter activity by Delegate or Date Range.
  • Manage Delegate access in the Delegates Tab (revoke or update).

Getting Access

When you are assigned as a Delegate, you’ll receive an email confirmation. Once active:

  1. Log in to DSMN8.
  2. Click the “Control” button in the top menu.
  3. Select the Executive Influencer you are managing.

Your Tools

  • Activity Feed – See all posts you’ve shared on behalf of executives, with links to DSMN8 and LinkedIn.
  • Pending Approvals – Track posts waiting for executive review (if they use the opt-out window).
  • Quick Switch – Toggle between multiple executive accounts seamlessly.
  • Analytics Tab – View performance metrics for the executive’s posts (shares, clicks, engagement).

Sharing Content Safely

When sharing on behalf of an executive:

  • DSMN8 will remind you which account you’re posting from.
  • You’ll confirm before completing a share.
  • You can switch back to your own account anytime.

Adding Delegates

  1. Go to Management Tab.
  2. Click Add Users.
  3. Select existing DSMN8 users as Delegates.

Adding Executive Influencers

  • Existing Users: Invite them via the Management Tab.
  • New Users: Send an email invite with pre-filled onboarding details.

Assigning Delegates to Executives

  1. In the Management Tab, select an Executive Influencer.
  2. Click Assign.
  3. Choose the Delegate.
  4. Confirm.

Revoking Access

  • Remove a Delegate from an Executive → Click Revoke next to their name.
  • Remove a Delegate from the programme entirely → Select Remove Delegate.

Monitoring Activity

The Activity Feed gives you a full overview of:

  • All content shared on behalf of executives.
  • Pending opt-out posts.
  • Cancelled or declined posts.

Analytics Tab

View performance metrics across all executives, including:

  • Top Content by Shares
  • Top Content by Clicks
  • Top Users by Shares
  • Top Users by Clicks

⚙️ Configuration Options (Service Agents)

  • Key Administrator: Only one per organisation (recommended).
  • Limits:
    • Max 20 Executives (default).
    • Max 10 Delegates (default).
    • Max 5 Delegates per Executive (default).
  • Opt-Out Window: Executives can enable/disable a 24-hour review period.
  • Delegate Actions Not Reviewed: Likes, comments, team joins, notification settings.

📧 Email Notifications

  • Delegate Assigned: Delegate receives login instructions.
  • Executive Invited (existing user): Link to confirm participation + LinkedIn connection.
  • Executive Invited (new user): Registration + onboarding.
  • Scheduled Share: Executives with opt-out enabled receive options to:
    • Cancel, Post Now, or Edit.
  • Completed Share: Executive receives direct LinkedIn link.
